Refund policy

You have the right to cancel payment of a registration fee and obtain a full refund for any meeting being organised by the BNA within seven days of registering for the meeting. Please note that all refunds for BNA2023 incur a £15+VAT administration charge. If you wish to cancel your registration within seven days please contact the BNA Festival Secretariat to arrange a refund at [email protected].

Cancellation policy

In the event of cancellation, a written notification must be sent by email to [email protected]. All refunds due to cancellation incur a £15.00+VAT (£18.00) administration charge.

  • If you cancel more than 60 days before the start of the meeting (i.e. up to 23:59 BST on Tuesday 21 February 2023) you will be refunded 50% of your registration fee.
  • If you cancel 60-30 days before the start of the meeting (i.e. from 00:01 BST on Wednesday 22 February to 23:59 BST on 24th March 2023, inclusive) you will be refunded 25% of your registration fee.
  • If you cancel fewer than 30 days before the start of the meeting (i.e. from 00:01 on 25th March 2023) you will not be refunded, unless your request to cancel is within 7 days of having registered (see refund policy above).

Non-accepted poster abstracts: In the unlikely event that your poster abstract is not accepted for presentation, and you no longer wish to attend the festival, you may request to cancel your registration and obtain a full refund of your registration fee (minus £15 +VAT administration fee). If your poster abstract is rejected and you wish to request a refund of your registration fee, please contact [email protected].

Please note that the poster abstract handling fees are not considered part of the registration fee, and are non-refundable in all cases.

Extenuating circumstances: If you wish to discuss extenuating circumstances for cancellation which you feel should be taken into account, please contact the BNA Festival Secretariat to discuss [email protected].  Decisions on such cases with extenuating circumstances are entirely at the discretion of the BNA, and will be considered on a case by case basis. Unfortunately the BNA is unable to offer refunds if the cause for an individual cancelling their registration is in any way related to industrial action or COVID-19.

Why we are charging these amounts, and what your registration fee pays for

We are committed to making BNA2023 as affordable and accessible as possible.

The Festival is heavily subsidised thanks to the support of our all BNA2023 Partnering Organisations, including the BNA, which are all making financial contributions to the Festival, as well as all our supporters and exhibitors.  The Festival represents a true coming together of all neuroscience societies to support their neuroscience communities.

Should we raise more sponsorship and exhibition income than expected, any surplus will go straight back to supporting the neuroscience community, since the BNA is a not-for-profit organisation whose purpose is to support and promote neuroscience and neuroscientists.

Value of attending the Festival

This all means the BNA2023 registration fee represents excellent value for money. Four days of all-things neuroscience!

Increasing accessibility for all

Although we believe the standard registration fees represent very good value for money, we're aware that the cost may still be a barrier to some.  We have therefore introduced additional ways to enable people to attend at reduced costs: see details here.
