Dear prospective Matie graduand
 
As Stellenbosch University (SU) prepares to celebrate the academic achievements of thousands of students who will graduate in December, please note the following important information.
 
December graduation series
 
The graduation series will be held at the Coetzenburg Centre, situated on the Coetzenburg sports grounds, from Monday to Friday, 11 to 15 December 2023. The Centre is back in use after undergoing maintenance during the March ceremonies this year. Click here to access the graduation schedule and group allocations.
 
Qualifying graduands will receive an email notification regarding graduation by Wednesday, 6 December, and the programme and graduand name lists will be uploaded to the graduation webpage from Monday, 11 December onwards. Students must fulfil all requirements for their specific certificate, diploma or degree to be able to graduate. The onus is on you to verify, in consultation with your Faculty Administrator, that you meet all the requirements for graduation.
  
Updating personal details and addresses  
 
As stipulated by regulation, your full name as per your ID or passport must reflect on your qualification documents. To ensure that your personal, street address and contact details are correct, please verify and update your information on the University’s system by Friday, 24 November 2023.

Please note that SU does not take responsibility for any names, surnames and/or street addresses that are incorrect on the system. Graduands will be charged an amount of R350,00 for any graduation documents that require reissuing because of incorrect details on the system.

Graduating in absentia (not attending the graduation ceremony)
 
Graduands who are unable to attend the ceremony, can arrange for their degree, diploma or certificate to be awarded in absentia by clicking here and completing the Absence from graduation ceremony form before Friday, 24 November. 
 
The system will prompt candidates to either select the self-collection option or have their graduation documents couriered to them.
 
If you missed the deadline to indicate that you will be graduating in absentia, your graduation documentation will automatically be couriered to you. Unfortunately, self-collection would not be an option at this stage.
 
The process for the courier and self-collect options are provided below:
 
Courier
 
Where arrangements have been made for graduating in absentia, the relevant graduation documents will be issued to you after the conclusion of the entire graduation series. DHL Couriers will deliver it to your door, provided that your current physical address and contact numbers are updated on the University’s system.
 
Graduation documentation for all graduates will be sent via DHL Courier Services starting from Wednesday, 20 December 2023.

  • Local delivery timeframe:
The expected delivery time for local deliveries is 2-4 working days. Please note that deliveries to remote areas may take slightly longer.
  • International delivery timeframe:
The delivery for international shipments may take 5-7 working days, depending on your location.
 
Please note that documentation with PO Box addresses cannot be delivered by courier.
 
Should graduands not update their information by the deadline, they will have to make their own arrangements with DHL Courier Services for delivery of their graduation documents to the correct address.
 
Self-collection
 
Where arrangements have been made for self-collection, documents will be packaged and available for collection at the Information Desk in Admin A from Monday, 18 December between 08:00 and 16:30 on weekdays.
 
Please note that the University will close on 22 December at 12:00 and will reopen on Tuesday, 2 January 2024.

Graduation deferral
 
Graduands qualifying for December 2023 may defer the awarding of their qualification to the March 2024 ceremonies. It is important to note that should you opt to defer to March 2024, you cannot request your official graduation document prior to the March graduation period.
 
You can arrange for deferral by completing the relevant form, which is available on the student portal. The form can be accessed by clicking here or at my.sun>>Studies>>Absence from graduation ceremony. The closing date is Friday, 24 November.
 
Please further note that students who utilise and pass a module during the A3 assessment period, which takes place from 22 November to 8 December 2023, will receive their qualifications at the March 2024 graduation cycle, which takes place from 25 to 28 March 2024. Students in this category do not need to complete the absentia or deferral forms.
 
Special arrangements
 
Kindly complete a request form if you have special needs and cannot cross the stage (e.g. graduands in wheelchairs or graduands with injuries), or if you require assistance with any of the following: 
  • Special arrangements for health reasons
  • Reserving space for your wheelchair next to the chair of a partner
  • The assistance of a guide or guide dog for visually impaired graduands
  • The services of a South African Sign Language interpreter 
Please submit your form before Friday, 24 November 2023.
 
Admission tickets
 
The venue’s population certificate (a legal requirement) limits the number of individuals that may be in the venue at any given time, compelling SU to issue a specific number of admission tickets per graduand. If graduands have indicated that they will be graduating in absentia, their admission tickets will still be sent to them, as a precautionary measure. 
  • Each graduand up to honours level will be allowed to invite two (2) guests.
  • Master’s candidates may invite three (3) guests.
  • Doctoral candidates may invite four (4) guests.

Regrettably, no additional tickets can be made available.
 
Preschool children should preferably not attend the ceremonies. If it happens that a preschool child attends a ceremony, such a child must also be in possession of an admission ticket and will therefore form part of the number of guests for a candidate.
 
Please note, if a graduand intends on bringing a private photographer into the venue, the photographer must also be in possession of an admission ticket which will therefore form part of the number of admission tickets that can be issued to a candidate. 
 
Graduand tickets and guest admission tickets will be emailed to graduands by Thursday, 7 December. Please check your official “@sun” student and personal email accounts for the admission tickets, and also check your “junk” folder. Note that the tickets will be sent from a Quicket account.
 
Tickets can be printed or saved to cell phones and must be shown at the door. Note that this arrangement applies to both graduands and guests.
 
Family and friends who are unable to attend the event can follow the ceremony online at www.sun.ac.za/streaming.
 
Overflow venue
 
Due to the venue’s population capacity, guests arriving at the Coetzenburg Centre without admission tickets will be accommodated in two overflow venues in the Sports Science Building where the graduation ceremony can be followed via live streaming.

Graduation notice
 
Please note that this initial graduation notice is sent to all final-year students and postgraduate students, irrespective of whether or not they will graduate at one of the December 2023 graduation ceremonies. Therefore, receiving this information should not be regarded as confirmation that you will be graduating. The communication is distributed and published for information purposes before it is known which students will graduate.

Beste voornemende Matie-graduandus
 
Terwyl die Universiteit Stellenbosch (US) met voorbereidings besig is om die akademiese prestasies van studente te vier wat in Desember sal gradueer, moet daar asseblief op die volgende inligting gelet word.
 
Desember-gradeweek
 

Die reeks gradeplegtigheide sal van Maandag tot Vrydag, 11 tot 15 Desember 2023 in die Coetzenburg-sentrum, geleë op die Coetzenburg-sportterrein, gehou word. Die sentrum is nou weer in gebruik nadat dit vroeër vanjaar gedurende die Maart-gradeplegtighede weens instandhoudingswerk nie gebruik kon word nie. Kwalifiserende graduandi sal teen Woensdag 6 Desember ’n kennisgewing per e-pos oor die gradeplegtigheid ontvang en die program en naamlyste van graduandi sal van Maandag 11 Desember af op die gradeplegtigheid-webblad gelaai word.

Studente moet aan alle vereistes vir hulle spesifieke sertifikaat, diploma of graad voldoen ten einde te kan gradueer. Die onus is op jou om in konsultasie met jou fakulteitsadministrateur te verseker dat jy aan al die vereistes vir graduering voldoen.

  
Bywerking van persoonlike inligting en adres
 
Soos deur die regulasies bepaal word, moet jou volle naam en van soos dit op jou ID of paspoort verskyn, op jou kwalifikasiedokumente verskyn. Gaan asseblief jou inligting op die Universiteit se stelsel na om te verseker dat jou persoonlike inligting, woonadres en kontakbesonderhede korrek op die stelsel verskyn. Alle veranderinge moet teen Vrydag 24 November 2023 op die stelsel aangebring word.
 
Let asseblief daarop dat die US nie verantwoordelikheid aanvaar vir enige name, vanne of woonadresse wat verkeerd is op die stelsel nie. ’n Bedrag van R350,00 sal gehef word vir enige gradueringsdokumente wat heruitgereik moet word weens verkeerde inligting op die stelsel.

Graduering in absentia (woon nie die gradeplegtigheid by nie)
 
Kandidate wat nie die plegtigheid kan bywoon nie, kan reël dat hulle graad, diploma of sertifikaat in absentia toegeken word deur die voorgeskrewe vorm in te vul. Klik hier om voor Vrydag 24 November 2023 aansoek te doen om in absentia te gradueer.

Die stelsel sal kandidate vra om óf die opsie te kies om hulle dokumente self te kom afhaal, óf dat hul gradueringsdokumente per koerier aan hulle gestuur word.

Indien jy nie voor die sperdatum aangedui het dat jy in absentia gaan gradueer nie, sal jou gradueringsdokumente outomaties per koerier aan jou gestuur word. Ongelukkig sal dit in hierdie stadium nie meer moontlik wees om te kies om self die dokumente te kom afhaal nie.

Die proses vir die opsies om die dokumente per koerier te laat aflewer óf om dit self te kom afhaal, is soos volg:

Koerier

Waar reëlings getref is om in absentia te gradueer, sal die betrokke gradueringsdokumente na afloop van die gradeweek na die woonadres wat op die Universiteit se databasis verskyn, gestuur word. DHL Koerierdiens sal dit by jou deur aflewer indien jou woonadres en kontaknommers wat op die Universiteit se stelsel verskyn, korrek is.

Gradueringsdokumente vir alle gegradueerdes sal vanaf Woensdag 20 Desember 2023 deur DHL Koerierdiens versend word vir aflewering. 

  • Tydsraamwerk vir plaaslike aflewerings:
Dit neem sowat twee tot vier (2–4) werksdae vir plaaslike aflewerings. Let asseblief daarop dat aflewerings in afgeleë gebiede moontlik ’n bietjie langer kan neem.
  • Tydsraamwerk vir internasionale aflewerings:
Dit neem sowat vyf tot sewe (5–7) werksdae vir internasionale aflewerings, afhangende van waar jy woon.
 
Let asseblief daarop dat dokumente met ’n posbusadres nie per koerier afgelewer kan word nie.
 
Graduandi wat nie hulle inligting teen die sperdatum opdateer nie, sal hulle hul eie reëlings met DHL Koerierdienste moet tref om hulle gradueringsdokumente by hulle te laat aflewer.
 
Self afhaal
 
Indien reëlings getref is om self die dokumente te kom afhaal, kan dit van Maandag 18 Desember 2023 af op weeksdae tussen 08:00 en 16:30 by die inligtingstoonbank in Admin A afgehaal word.
 
Die Universiteit sluit Vrydag 22 Desember 2023 om 12:00 en heropen weer Dinsdag 2 Januarie 2024.

Uitstel van graduering
 
Graduandi wat kwalifiseer om in Desember 2023 hulle kwalifikasie te ontvang, kan die toekenning daarvan na die Maart 2024-gradeplegtighede uitstel. Dit is belangrik om daarop te let dat indien jy sou kies om dit na Maart 2024 uit te stel, jy ongelukkig nie jou amptelike gradueringsdokumente by die Gradekantoor kan aanvra nie.
 
Jy kan vir uitstel reël deur die toepaslike vorm, wat op die studenteportaal beskikbaar is, in te vul. Daar kan toegang tot die vorm verkry word deur hier te klik of gaan na my.sun>>Studies>>Absence from graduation ceremony. Die sluitingsdatum is Vrydag 24 November 2023.
 
Let verder daarop dat studente wat van die tweede assesseringsgeleentheid (A3-assesseringstydperk van 22 November tot 8 Desember 2023) gebruik maak en dan hulle module slaag, hulle kwalifikasie by die gradeplegtigheidsiklus in Maart 2024 (25–28 Maart 2024) sal ontvang. Hierdie studente hoef nie die absentiavorm of die vorm om uitstel van graduering te versoek, in te vul nie.
 
Spesiale reëlings
 
Indien jy nie die verhoog kan oorsteek nie (byvoorbeeld graduandi in ’n rolstoel of wat ’n besering het) of hulp met een van die onderstaande benodig, moet jy die versoekvorm wat hier beskikbaar is, invul. 

  • Spesiale reëlings weens gesondheidsredes

  • Om plek vir ’n rolstoel langs ’n metgesel se stoel te bespreek

  • Gids of gidshond vir gesiggestremde graduandi

  • Die dienste van ’n Suid-Afrikaanse Gebaretaaltolk 

Dien asseblief enige sodanige versoeke voor Vrydag 24 November 2023 in.
 
Toegangskaartjies
 
Die populasiesertifikaat van die lokaal (’n wetlike vereiste) beperk die aantal mense wat op enige gegewe tydstip in die sentrum mag wees, wat die US dwing om ’n beperkte aantal toegangskaartjies per graduandi uit te reik. Indien graduandi aangedui het dat hulle in absentia gaan gradueer, sal hulle toegangskaartjies nog steeds as ’n voorsorgmaatreël aan hulle gestuur word.

  • Elke graduandi tot op honneursvlak mag twee (2) gaste uitnooi.

  • Op meestersvlak mag graduandi drie (3) gaste uitnooi.

  • Doktorale kandidate mag vier (4) gaste nooi. 

Ongelukkig kan geen bykomende kaartjies aan graduandi toegeken word nie.
 
Voorskoolse kinders moet verkieslik nie saamgebring word na die plegtighede nie. Indien dit wel gebeur, moet so ’n kind ook in besit van ’n toegangskaartjie wees en maak dit dus deel uit van die totale aantal toegangskaartjies wat aan ’n kandidaat uitgereik kan word.

Let asseblief daarop dat indien ’n graduandus hulle eie, privaat fotograaf na die lokaal wil bring, moet die fotograaf ook in besit van ’n toegangskaartjie wees en maak dit dus deel uit van die totale aantal toegangskaartjies wat aan ’n kandidaat uitgereik kan word.

Toegangskaartjies vir graduandi en gaste sal teen Donderdag 7 Desember 2023 aan graduandi gestuur word. Gaan jou amptelike “@sun” studente-e-posrekening na vir jou toegangskaartjies, en kyk ook in jou rommelposlêer (“junk folder”) in jou e-posrekening. Let daarop dat die kaartjies vanaf ’n Quicket-rekening gestuur sal word.

Kaartjies kan gedruk word of op selfone gestoor word en moet by die deur getoon word. Let daarop dat hierdie reëling vir graduandi én gaste geld.

Gesinslede en vriende wat nie die geleentheid kan bywoon nie, kan ook die gradeplegtigheid aanlyn volg by www.sun.ac.za/streaming.

Oorlooplokaal
 
Weens die lokaal se populasiekapasiteit sal gaste wat sonder ’n toegangskaartjie by die Coetzenburg-sentrum opdaag, in twee oorlooplokale in die Sportwetenskapgebou gehuisves word waar hulle die gradeplegtigheid aanlyn via ’n regstreekse stroomuitsending sal kan volg.

Kennisgewing oor gradeplegtighede
 
Let asseblief daarop dat hierdie voorlopige kennisgewing oor die gradeplegtighede aan alle finalejaar- en nagraadse studente gestuur word, ongeag of hulle by een van die Desember-gradeplegtighede in 2023 sal gradueer of nie. Die blote ontvangs van hierdie inligtingsdokument dien dus nie as ’n bewys dat ’n kwalifikasie verwerf is nie, want die dokument word versprei en opgelaai voor die bekendmaking van die name van die studente wat by die onderskeie plegtighede sal gradueer.
